Culture Concierge acts solely as an intermediary between travelers and our trusted airline, hotel, tour, and transportation partners. While we carefully select our vendors, we are not liable for any acts, errors, omissions, delays, or changes made by third parties.
Documentation & Entry Requirements
Travelers are responsible for ensuring they have valid passports, visas, vaccinations, and any other documentation required for their destination. Failure to obtain these documents may result in denied boarding or entry, for which Culture Concierge cannot be held responsible.
Travel Insurance
We strongly recommend travel insurance for all travelers. By declining coverage, you acknowledge and accept full responsibility for any cancellations, medical expenses, emergencies, or interruptions that may occur.
Health, Accessibility & Special Requests
Please disclose any medical conditions, dietary restrictions, or accessibility needs prior to booking. While we will make every effort to accommodate, certain requests may not be guaranteed depending on vendor or destination capabilities.
Room Assignments & Occupancy
If you do not have a designated roommate, one will be assigned or matched 45 days before travel, provided at least 75% of your trip balance has been paid. Single occupancy may be required at an additional cost if a match cannot be made.
Pricing & Payment Plans
All pricing is subject to change until a deposit is received. Once a payment plan has been initiated, monthly payments will be automatically scheduled based on your plan’s timeline. Failure to maintain payments may result in cancellation and forfeiture of funds.
Changes, Substitutions & Itinerary Adjustments
Occasionally, our suppliers may adjust schedules, accommodations, or excursions. Culture Concierge reserves the right to make substitutions of equal or greater value when necessary to maintain the quality of the experience.
Conduct & Behavior
All travelers are expected to respect local laws, customs, and fellow guests. Disruptive, unsafe, or disrespectful behavior may result in removal from group activities or the entire trip without refund.
Media Release
By joining a Culture Concierge experience, you grant permission for photos and videos captured during travel to be used in marketing and promotional materials across our platforms, unless a written request to opt out is submitted prior to departure.
Force Majeure
Culture Concierge is not liable for losses, delays, or cancellations caused by circumstances beyond our control — including but not limited to natural disasters, pandemics, airline strikes, or government actions.
Refunds & Transfers
All deposits are nonrefundable.
All trip funds and payments applied are nonrefundable and non-transferable.
Effective Date: October 1, 2025
All deposits and payments made to Culture Concierge are subject to the following terms and conditions. By submitting payment, you acknowledge and agree to these policies in full.
For land-only trips, a $100 deposit is required. For trips including flights, a $300 deposit is required. All deposits are nonrefundable and nontransferable. Deposits secure your reservation and confirm arrangements on your behalf. All deposits are applied toward your total trip cost.
Payments are due as outlined on your invoice. Any invoice that remains unpaid for 14 days past the due date will be considered delinquent. On the fifteenth day of nonpayment, your reservation is subject to automatic cancellation without refund. No exceptions will be made.
Final payment is due 60 days before departure for NON CULTURE CONCIERGE TRIPS. Reservations not paid in full by this date will automatically cancel without refund. By opting into a payment plan, you authorize recurring payments to be automatically processed on the agreed schedule.
All pricing is subject to change until your deposit is received. Airfare, taxes, and resort fees may fluctuate due to airline or vendor adjustments. In rare cases where costs increase before your final payment, you will be notified and may choose to pay the difference or cancel under the existing cancellation terms.
If you do not have a designated roommate, one may be assigned forty-five days before travel, provided at least seventy-five percent of your trip has been paid. If a match cannot be made, you will be required to upgrade to single occupancy at the applicable rate.
If you cancel after a deposit has been made, the deposit remains nonrefundable. Any additional funds paid will follow the cancellation policies of the resort, airline, or vendor. These policies vary by destination and supplier and may result in partial or no refund.
All cancellation requests must be submitted in writing to vipcultureconcierge@gmail.com. Failure to submit written notice will result in full forfeiture of any funds.
Travel insurance is strongly recommended to protect your investment against unforeseen circumstances such as illness, flight delays, cancellations, or medical emergencies. Without travel insurance, you accept full responsibility for any financial losses that may occur. All refunds must be submitted through the travel insurance company/vendor.
Payments are applied directly to your booking and are nontransferable to another trip, guest, or date. All refunds, when applicable, will be processed according to vendor policies. Culture Concierge has no control over third-party refund timelines.
By booking with Culture Concierge, you agree to these terms and acknowledge that all deposits and payments are nonrefundable and nontransferable.
