All deposits and payments made to Culture Concierge are subject to the following terms and conditions. By submitting payment, you acknowledge and agree to these policies in full.


Deposits

For land-only trips, a $100 deposit is required. For trips including flights, a $300 deposit is required. All deposits are nonrefundable and nontransferable. Deposits secure your reservation and confirm arrangements on your behalf. All deposits are applied toward your total trip cost.


Payments & Invoices

Payments are due as outlined on your invoice. Any invoice that remains unpaid for 14 days past the due date will be considered delinquent. On the fifteenth day of nonpayment, your reservation is subject to automatic cancellation without refund. No exceptions will be made.


Final payment is due 60 days before departure for NON CULTURE CONCIERGE TRIPS. Reservations not paid in full by this date will automatically cancel without refund. By opting into a payment plan, you authorize recurring payments to be automatically processed on the agreed schedule.


Pricing & Availability

All pricing is subject to change until your deposit is received. Airfare, taxes, and resort fees may fluctuate due to airline or vendor adjustments. In rare cases where costs increase before your final payment, you will be notified and may choose to pay the difference or cancel under the existing cancellation terms.


 

👯‍♀️ Double Occupancy & Roommate Policy

All double occupancy reservations are priced per person based on two occupants sharing a room.


By booking a double occupancy package, you agree that:

  • You are financially responsible for your portion of the room at all times
  • If your roommate cancels, fails to make payments, or is removed from the reservation for any reason, you are responsible for:
    • Securing a replacement roommate or
    • Paying the difference to convert your reservation to single occupancy

Failure to resolve roommate changes by the final payment deadline may result in:

  • Automatic cancellation of your reservation by the supplier
  • Applicable cancellation penalties, which may be up to 100% of the total cost

Culture Concierge is not responsible for:

  • Matching roommates
  • Covering unpaid balances
  • Mediating financial disputes between travelerse.


Cancellations

If you cancel after a deposit has been made, the deposit remains nonrefundable. Any additional funds paid will follow the cancellation policies of the resort, airline, or vendor. These policies vary by destination and supplier and may result in partial or no refund.

All cancellation requests must be submitted in writing to vipcultureconcierge@gmail.com. Failure to submit written notice will result in full forfeiture of any funds.


Travel Insurance

Travel insurance is strongly recommended to protect your investment against unforeseen circumstances such as illness, flight delays, cancellations, or medical emergencies. Without travel insurance, you accept full responsibility for any financial losses that may occur. All refunds must be submitted through the travel insurance company/vendor.



 

🔒 Refund Policy & Travel Protection

All payments made to Culture Concierge are non-refundable and non-transferable.


Without Travel Insurance

If you choose to decline travel insurance, you acknowledge and agree that:

  • Your booking is 100% non-refundable under any circumstances
  • No exceptions will be made for cancellations due to personal reasons, emergencies, financial hardship, or schedule changes
  • Culture Concierge will not issue refunds, credits, or transfers

 

With Travel Insurance (Purchased Through Culture Concierge)

If travel insurance is purchased through Culture Concierge:

  • 25% of your total trip cost remains non-refundable and is retained by Culture Concierge as a planning and service fee
  • The remaining 75% must be claimed directly through the travel insurance provider, subject to their terms and approval

Please note:

  • Culture Concierge does not approve or deny insurance claims
  • Reimbursement is not guaranteed and is based solely on the insurance provider’s policy
  • You are responsible for submitting all required documentation for your claim


 

Important Notice

Travel insurance is the only form of financial protection for your trip.
By declining coverage, you accept full financial responsibility for your booking.

This policy is strictly enforced and non-negotiable.


Agreement

By booking with Culture Concierge, you agree to these terms and acknowledge that all deposits and payments are nonrefundable and nontransferable.
